What is an inventory?

Our inventories are an accurate account of the contents, fixtures and fittings of your property. Each room is listed giving a full account of the condition of the walls, floor, ceiling and fittings such as lights, radiators and all furnishings.

Why do I need one?

Renting property can be a complex business, particularly when it comes to damage to your property or its’ contents. Many landlords do not keep a proper record of their property’s condition at the start of a tenancy and forfeit their right to make deductions from the deposit should any damage occur.

Since the introduction of the Tenancy Deposit Scheme in April 2007, deductions from the deposit have to be agreed with the tenant and this often leads to a dispute.

The Dispute Service then adjudicates and if you are unable to provide sufficient evidence of loss or damage you may lose your claim.

The inventory needs to be an unbiased, complete and correctly written schedule of condition.

Tenant Check-In

On the day that your tenant is due to move in we will meet them at the property and check the inventory with them. Once in agreement we will ask your tenant to sign the inventory before we hand over the keys.

Tenant Check-Out

At the end of the tenancy we will visit the property and compare the condition with the ingoing inventory. We will list and photograph any changes.

Ways you can help.

An accurate inventory can only be taken when the property is completely ready for the tenant to move in and not while any work is in progress. Items which are in the property during the inventory will be listed and if they are later removed by the landlord the accuracy of the inventory could be called into doubt.

  • Please inform us of the Electricity/Gas/Water supplier so that we can add this to the Property Information page.
  • Please tell us how many and which keys the tenant will have.
  • Please make us aware of anything at the property which requires special mention.

Check-In

If you have requested that we conduct the check-in, we will collect the keys from you and arrange to meet your tenant at the property on the day they are to move in. We will walk through the property with them and check the inventory together. It is at this point that the inventory can be amended by mutual consent. Once the inventory has been agreed by us and your tenant it will be signed by both parties. We will then hand over the keys to your tenant and return two copies of the signed inventory to you. We can leave a copy with your tenant if instructed or leave that to you if you prefer.

Important.

  • When we hand over the keys we assume that all the necessary agreements for the tenancy are in place and that the tenancy has been approved.
  • We do not accept any payments on your behalf.
  • We will ask your tenant for photographic identification before conducting the check-in.

Check-Out

If you have requested that we conduct the check-out, we will visit the property at the end of the tenancy and compare the condition and contents of the property against the ingoing inventory. We will note and photograph (where practical) any discrepancies and prepare a report which we will give to you.

Important.

  • We can advise on dilapidations but it is entirely the landlords decision to retain any part of the deposit and this must be agreed with the tenant.
  • The report is delivered to the landlord or agent.

Periodic Inspection.

If you have requested that we conduct a periodic inspection we will visit the property and report on its general condition. We also report on matters of tenancy, for instance, whether there are more people living in the property than originally agreed or whether there are pets at the property. We also report inappropriate living and anything we think the landlord should be aware of.

Important.

  • A Periodic Inspection is not an inventory check.
  • The report is delivered to the landlord or agent.
